Lizzie May, PR & social media manager at Your Event Solutions (YES), an ALTOUR company, reflects on a recent client retreat at Cowdray House, exploring how thoughtful programming, informal moments and immersive venue experiences can help build stronger long-term relationships with clients.

In a sector where relationships underpin every successful brief, taking time away from formal settings can be as valuable as the event itself. This month, we brought together a small group of corporate clients for a 24-hour retreat at Cowdray House in West Sussex, designed not as a sales exercise, but as a space for meaningful conversation and shared experience.

Set within the historic Cowdray Estate, the gathering was intentionally curated to showcase the venue’s suitability for high-end corporate retreats and incentive programmes, while demonstrating YES’s approach to thoughtful, relationship-led engagement. Guests were welcomed with a relaxed buffet lunch, offering an immediate shift in pace from the working week.

The programme focused on creating a natural rhythm across the retreat, rather than moving straight into structured presentations, balancing content, downtime and shared activities. A standout session came from gut health expert Nicola Russell, who led an accessible and practical wellness discussion tailored to a corporate audience. The inclusion of a specialist speaker reflected a growing demand within the MICE sector for experiences that go beyond hospitality, offering delegates something of genuine personal value. The session sparked open conversation around health and wellness, setting the tone for the rest of the retreat: informal, considered and human.

The afternoon included a countryside walk to the Cowdray Farm Shop, offering clients a chance to experience the estate’s wider grounds. An unintended detour off route — and a light-hearted vehicle rescue — quickly became an icebreaker moment, reinforcing one of the retreat’s quiet objectives: creating shared experiences that foster authentic connection. Free time followed, allowing guests to explore the estate at their own pace, from the pool and spa facilities to the expansive bedrooms and landscaped grounds. This unscheduled space was deliberate. YES sought to demonstrate the value of allowing room for conversation to unfold organically, in an industry often defined by tight schedules.

The evening programme moved into a drinks reception with canapés, followed by a three-course dinner introduced by the estate’s chef, who spoke to the provenance and thought behind each course. The culinary storytelling element added depth to the experience, highlighting how venue partners can elevate corporate gatherings through detail and personality rather than scale alone. Bowling later in the evening provided an informal close to the day’s structured activity, a reminder that networking is often most effective when it feels unforced.

The following morning began with a yoga session, reinforcing the retreat’s balanced approach to productivity and wellbeing, before a final breakfast brought the group together ahead of their return to London. For YES, the retreat was not simply a showcase of Cowdray House as a potential event setting, but an illustration of how immersive experiences can strengthen long-term client partnerships. By stepping outside boardrooms and formal pitches, space was created for broader conversations about business priorities, challenges within the events landscape and future collaboration. In an increasingly competitive MICE market, where procurement cycles are lengthening and decision-making is more considered, relationship-led business development remains critical.

Experiencing a venue as a guest, rather than through a brochure or proposal, allows clients to assess its suitability through a lived lens. Equally, it enables agencies to demonstrate their programming philosophy in practice. The Cowdray House retreat underscored several themes shaping the sector: demand for wellbeing-led content, appreciation for authentic storytelling within hospitality, and the importance of unstructured time in fostering trust. It also reflected YES’s wider expertise in curating experiences that balance commercial objectives with human connection.

As corporate clients continue to prioritise impact and intentionality in their event strategies, opportunities to engage outside transactional settings are proving increasingly valuable. For YES, the focus remains clear: thoughtful programming, considered partnerships and experiences designed to resonate long after guests return to the office.
